Privacy Policy for Your Events Team, LLC

Effective Date: September 30, 2026

Introduction

Welcome to Your Events Team (“we,” “us,” or “our”). We are committed to protecting your privacy and providing you with a positive experience while using our software as a service. This Privacy Policy explains what information we collect, how we use, share, and protect that information, and the choices you have.

This Policy applies to all of our services (collectively, the “Services”), including:

  • our marketing website at youreventsteam.com;
  • our web application at app.youreventsteam.com;
  • our mobile website and our mobile applications for iOS and Android; and
  • booking, inquiry, waiver, membership, and scheduling pages that our venue customers host through our platform.

About Our Platform

Your Events Team provides event, reservation, party-package, membership, and meeting-scheduling software to hospitality and entertainment venues (such as bowling centers, family entertainment centers, axe-throwing venues, and restaurants). When you interact with a venue that uses our platform (for example, by submitting an inquiry, booking a reservation, signing a waiver, purchasing a gift card, or booking a meeting), we process your information on that venue’s behalf. The venue is responsible for its own use of your information; this Policy describes how we handle it as the platform provider.

1. Information We Collect

1.1 Account Information

  • When you register for an account, we collect your name, email address, phone number, and other information needed to set up and manage your account.

1.2 Contact and Booking Information

  • When you (or a venue on your behalf) create an inquiry, reservation, event, party package, membership, waiver, or meeting, we collect information such as your name, email address, phone number, mailing address, event details, and any additional information requested on a venue’s form.

1.3 Usage and Device Data

  • We automatically collect information about how you use our Services, including log data, IP address, browser type, device and operating system information, pages and screens viewed, and actions taken. We collect this on our website, web application, mobile website, and mobile apps.

1.4 Session Recording and Error Monitoring

  • Across all of our Services, including our marketing website, our web application, our mobile website, and our mobile apps, we use error-monitoring and session-replay tools (including Sentry) to diagnose problems and improve our Services. These tools may record a reconstruction of your interactions, such as page and screen navigation, clicks, taps, and other on-screen activity, so we can identify and fix errors. We configure these tools to mask or exclude sensitive information (such as text you type into form fields and payment details) from recordings.

1.5 Payment Information

  • If you make a purchase, payment information (such as your billing name, billing address, and card details) is collected to process the transaction. Card payments are handled by our third-party payment processors, Stripe (which we also offer as “YET Pay”) and Authorize.Net. We do not store full payment card numbers on our systems; card data is transmitted directly to and processed by our payment processors. See Section 3.

1.6 Communications

  • We collect information from your communications with us and with venues through our platform, such as emails, text messages, customer-support inquiries, and feedback.

1.7 Calendar and Conferencing Data (Connected Accounts)

  • If you are a venue user and you connect a third-party calendar account (such as Microsoft Office 365 or Google) to use our meeting-scheduling features, we access limited information from that account to provide the feature. See Section 4 for details, including our specific disclosures for Google user data.

1.8 SMS / Text Messaging

If you provide your mobile phone number, you consent to receive SMS messages from Your Events Team, or from a venue through our platform, for account management, booking, scheduling, reminder, and customer-support purposes. Message and data rates may apply. Message frequency will vary. You may opt out at any time by replying STOP to any message you receive. Reply HELP for assistance.

2. How We Use Your Information

2.1 Providing Services

  • We use your information to deliver, maintain, and improve our Services; to process bookings, reservations, memberships, meetings, and payments; and to provide customer support.

2.2 Communication

  • We use your information to send service-related announcements, booking and meeting confirmations, reminders, updates, and, where permitted, promotional materials.

2.3 Analytics and Improvement

  • We use analytics, error-monitoring, and session-replay tools to understand how our Services are used, to diagnose and fix problems, and to improve functionality.

2.4 Legal Compliance

  • We may process your information to comply with legal obligations and to protect our rights, our users, and the public.

2.5 SMS Data

No mobile information, including SMS opt-in data and consent, will be shared with third parties or affiliates for marketing or promotional purposes. All categories of data exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties except our messaging service providers for the sole purpose of delivering messages you have consented to receive.

3. How We Share Your Information

3.1 Venues

  • Information you submit through a venue’s booking, inquiry, waiver, membership, or scheduling page is shared with that venue so it can respond to and fulfill your request.

3.2 Service Providers

  • We share information with third-party service providers who help us operate our Services. These include, for example, our payment processors (Stripe, which we also offer as “YET Pay,” and Authorize.Net), our email delivery provider, our SMS/messaging provider, our cloud hosting and infrastructure providers, and our error-monitoring and analytics providers (including Sentry). These providers are authorized to use your information only to perform services for us.

3.3 Payments

  • Payment card information is processed by our payment processors, Stripe (also offered as “YET Pay”) and Authorize.Net, under their own terms and privacy policies. We do not retain full card numbers. We receive limited transaction details (such as confirmation of payment and the last four digits of a card) to manage your order and account.

3.4 Business Transfers

  • In the event of a merger, acquisition, or sale of all or part of our assets, your information may be transferred to the acquiring entity.

3.5 Legal Disclosures

  • We may disclose your information to comply with legal requirements, enforce our agreements and policies, or protect the rights, property, or safety of Your Events Team, our users, or others.

4. Connected Calendar and Video Accounts (Including Google User Data)

Our meeting-scheduling features let venue users connect third-party calendar and video-conferencing accounts so that meetings booked through our platform are added to their calendar, their availability can be determined, and video meeting links can be generated. Connecting an account is optional and is initiated by the user. Calendar and video connections are independent of one another.

4.1 Microsoft Office 365

  • If you connect a Microsoft Office 365 account, we access your calendar to read your availability (free/busy times) and to create, update, and cancel meeting events that are booked through our platform, including generating Microsoft Teams links for video meetings.

4.2 Google

  • If you connect a Google account, we request access only to your Google Calendar. We use this access to read your availability (free/busy times) and to create, update, and cancel the meeting events that are booked through our platform, including generating Google Meet links for video meetings. We do not request access to Gmail, Google Contacts, Google Drive, or any other Google data.

4.3 Limited Use of Google User Data

Your Events Team’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only use Google Calendar data to provide and improve the scheduling features you have enabled.
  • We do not transfer or sell Google user data to third parties for advertising, marketing, or other unrelated purposes.
  • We do not use Google user data for advertising.
  • We do not allow humans to read your Google Calendar data unless we have your affirmative consent for specific items, it is necessary for security purposes (such as investigating abuse), to comply with applicable law, or our use is limited to internal operations and the data has been aggregated and anonymized.

4.4 Zoom (Video Conferencing)

  • If you connect a Zoom account, we request access only to the ability to create and manage Zoom meetings on your behalf. We use this access to create, update, and cancel the Zoom meeting links for meetings booked through our platform. We do not access your Zoom recordings, chat, contacts, or other Zoom data. A Zoom connection is used only for generating and managing video meeting links and is independent of any connected calendar.

4.5 Disconnecting

  • You can disconnect any connected calendar or video account at any time from within the application. You can also revoke our access through your Microsoft, Google, or Zoom account security settings. After disconnection, we stop accessing the account; previously created calendar events and meeting links remain unless you remove them.

5. Mobile Apps, Device Permissions, and Digital Wallets

5.1 Device Permissions

Our mobile applications request certain device permissions to provide features. We request these only when needed, and you can manage them in your device settings:

  • Camera – used to scan QR codes within the app. We do not use the camera to record or store photos or video.
  • Photo Library – used only if you choose to select and upload a photo or file from your device.
  • Face ID / Touch ID / Biometrics – if you enable it, biometric authentication is used to log in to the app. This is handled entirely by your device’s operating system (Apple or Google). We never receive, access, or store your biometric data; the device only confirms to the app whether authentication succeeded.
  • Push Notifications – if you allow them, used to send booking reminders, meeting reminders, and account updates.

Our mobile apps do not access your location, microphone, or device contacts.

5.2 Digital Wallets

If you add a membership card or pass to Apple Wallet or Google Wallet, limited information needed to create and display that pass (such as your name and membership details) is processed to generate the pass. Your use of Apple Wallet or Google Wallet is also subject to Apple’s and Google’s respective terms and privacy policies.

6. Your Choices

6.1 Account Information

  • You can review and update your account information through your account settings.

6.2 Communication Preferences

  • You can opt out of promotional emails by following the unsubscribe instructions in those emails. We may still send you service-related messages.

6.3 SMS Communications

You may opt out of SMS messages at any time by replying STOP to any message you receive. You may also contact us at support@youreventsteam.com to be removed from SMS communications.

6.4 Connected Accounts

  • You can disconnect a connected calendar account at any time, as described in Section 4.4.

7. Data Retention

We retain your information for as long as needed to provide the Services, fulfill the purposes described in this Policy, comply with our legal obligations, resolve disputes, and enforce our agreements. Retention periods vary depending on the type of information and the purpose for which it was collected.

8. Security

We take reasonable administrative, technical, and physical measures to protect your information from unauthorized access, disclosure, alteration, and destruction, including encryption of sensitive data in transit and at rest where appropriate. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Children’s Privacy

Our Services are not intended for individuals under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected such information, we will delete it.

10. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in our practices. We will notify you of significant changes by posting the updated policy on our website and updating the “Effective Date” above.
