Zoom guide
Using Zoom with Your Events Team
Your Events Team lets your sales team schedule meetings with prospects. When a prospect books a video meeting, Your Events Team can automatically create a Zoom meeting on the connected user’s Zoom account and include the Zoom join link in the booking. This guide explains how to add, use, and remove the Zoom integration.
Adding the Zoom integration
Each user connects their own Zoom account. To add it:
- Sign in to Your Events Team and open the menu, then select Manage Meetings.
- In the Connect Video section, find the Zoom row and click Sign in with Zoom.
- You will be redirected to Zoom to sign in and authorize Your Events Team. Review the requested permissions and click Allow.
- After authorizing, you are returned to Manage Meetings. The Zoom row will show Connected as your Zoom account email.
Your Events Team requests only the permissions needed to create, update, and delete meetings on your Zoom account, and to read your account email to confirm the connection. It does not access your recordings, chat, or contacts.
Troubleshooting
If the Zoom row does not show as connected after authorizing, return to Manage Meetings and click Sign in with Zoom again. If you are prompted to reconnect, your authorization has expired and signing in again will restore it. For any other issue, contact support@youreventsteam.com.
Using the Zoom integration
- In Manage Meetings, under Connect Video, select Zoom as your video provider. Zoom can be selected once your Zoom account is connected and you have a connected calendar (Office 365 or Google).
- When a prospect books a video meeting through your booking page, Your Events Team creates a scheduled Zoom meeting on your account and adds the Zoom join link to the calendar event and the confirmation sent to the prospect.
- If the meeting is rescheduled, the Zoom meeting is updated to the new time and keeps the same join link.
- If the meeting is canceled, the Zoom meeting is deleted from your account.
If your Zoom connection expires or is revoked, Your Events Team will prompt you to reconnect, and new video meetings cannot be booked until you do. Existing meetings and phone or in-person bookings are not affected.
Removing the Zoom integration
You can remove the Zoom integration at any time using either method:
From Your Events Team
- Open Manage Meetings and go to the Connect Video section.
- On the Zoom row, click Disconnect. Your stored Zoom authorization is removed from Your Events Team.
From your Zoom account
- Sign in to the Zoom App Marketplace at marketplace.zoom.us.
- Click Manage, then Added Apps.
- Find Your Events Team and click Remove.
When you remove the app from your Zoom account, Zoom notifies Your Events Team and your stored Zoom authorization and tokens are deleted. Removing the integration stops Your Events Team from creating, updating, or deleting Zoom meetings for future bookings. Meetings already on your Zoom account are not affected.
